AI for Car Dealerships: What Actually Books Appointments

AI books appointments for car dealerships when it is used on follow-up: answering enquiries instantly, holding two-way text conversations and working aged leads the sales team never gets back to. AI for content, pricing and admin saves time, but it does not put buyers in the showroom on its own. The dealers who see results point AI at the gap between an enquiry arriving and a person booking a visit.
This guide covers the four places dealers use AI to book appointments, what to look for in a CRM for car dealers, how the UK and US differ, and how to measure whether it works.
At a glance
- 82% of US dealers say they use AI, but only 22% of AI users report sales and revenue growth from it so far (Cox Automotive, Q2 2026)
- Coordinating customer follow-up is one of the top two dealer AI uses, at 40%
- In UK data, text converted 14% of engaged leads to appointments against about 8% for email (Impel, vendor)
- Out of hours, the median UK dealer took over 13 hours to send a tailored reply to a new car enquiry (Impel mystery shop)
- Measure AI on appointments booked, shown and sold, not on messages sent
How are car dealerships using AI in 2026?
Most dealers already use AI somewhere. Cox Automotive's AI in Auto Retail Tracker, based on 483 US dealers in Q2 2026, found 82% use AI today. The top uses were automating routine or complex tasks (40%), coordinating customer follow-up (40%) and generating content and creative (38%).
The gap is results. 69% of dealers expect AI to drive sales and revenue growth, but only 22% of AI users report seeing that growth so far, and about one in three are not measuring AI's impact or are unsure how to. Buyers are moving faster: 63% of shoppers say they will definitely or probably use AI on their next vehicle purchase.
That is the core lesson. AI that produces content or tidies admin is useful. AI that books the next conversation with a buyer is where the sales are.
What are automotive leads, and where do they go cold?
Automotive leads are enquiries from people interested in buying, leasing, financing or part-exchanging a vehicle: website forms, classified listings, manufacturer leads, phone calls, chat, finance applications and walk-ins. They go cold in the hours and days after they arrive, when nobody replies quickly or the follow-up stops after one attempt.
Impel, a vendor, mystery shopped UK dealer groups from the Car Dealer Top 100 between November 2025 and March 2026. The median time to a tailored reply was 17 minutes in hours for new car enquiries, but 13 hours 12 minutes out of hours. It also found a third of dealers stopped contact after one attempt.
Buyers expect better. A Motors survey of 2,000 UK car buying decision makers, reported by Car Dealer Magazine, found 55% expected a response within three hours or they would go elsewhere. Every lead that misses that window is a paid enquiry that may now be buying from someone else.
Where does AI actually book appointments for dealers?
AI books appointments in four places: inside the dealer CRM, in website chat, in SMS follow-up and in an AI BDC that works the lead list. Each one covers a different part of the gap.
| AI tool | What it does | Where it books appointments | Watch out for |
|---|---|---|---|
| AI in the CRM | Scores and routes leads, writes follow-up drafts, sets tasks | Indirectly, by making sure the right person follows up | Only as good as the team acting on the tasks |
| AI website chat | Answers questions on the website and captures details | When the buyer is on your site, including out of hours | Many buyers leave before chatting |
| AI SMS follow-up | Holds two-way text conversations with new and aged leads | In the conversation, by offering times and confirming | Needs proper consent, opt-outs and a handover to people |
| AI BDC | Works the whole lead list: new, unsold and aged | Across the list, at volume, every day | Must hand hot buyers to people fast |
What should you look for in a CRM for car dealers?
A good CRM for car dealers captures every lead from every source, gets the right one to the right person fast, and makes follow-up happen even when people are busy. AI features help most when they create action, not just reports.
- Every source in one place: website, classifieds, manufacturer leads, phone, chat and finance applications.
- Instant routing and alerts so a fresh enquiry does not sit unread.
- Two-way texting from the CRM, with replies logged against the customer record.
- Follow-up tasks and sequences that keep going after the first attempt.
- Aged lead views that show unsold enquiries by vehicle, budget and date.
- Integration with your DMS so sold customers drop out of sales follow-up and into service and renewal.
- Reporting on appointments set, shown and sold by source, not just leads received.
If your CRM already does this, adding AI on top makes it faster. If it does not, AI will mostly generate reminders that nobody acts on.
Does AI chat on a dealer website book appointments?
AI chat books appointments when a buyer is on your website and wants an answer now, especially out of hours. It is a good first-touch tool, but it only reaches people who choose to start a chat.
Most enquiries arrive as forms, listing enquiries and calls, then go quiet. Chat does not follow up with those people after they leave. That is why dealers who rely on chat alone still have large numbers of unworked enquiries in the CRM.
Why does AI SMS follow-up work for dealerships?
Text works because buyers read and reply to it when it suits them, and AI can answer every reply in seconds, at any hour. Impel's UK data for 2025 found text converted 14% of engaged leads into appointments, compared with about 8% for email, and that about 60% of engagement happened by text. Impel is a vendor, so treat those as its own figures.
Two-way matters. A broadcast text with an offer gets ignored or replied to with a question nobody answers. A conversation about the car the buyer asked about, from someone who replies straight away, gets appointments.
What is an AI BDC, and how is it different from a human BDC?
An AI BDC does the business development centre's follow-up work, contacting leads, answering replies and setting appointments, without being limited by headcount or working hours. A human BDC brings judgement, phone skill and relationships, but can only work so many leads a day.
The best set-ups use both. AI handles the volume, the after-hours replies and the aged leads that a human team never reaches. People take the hot buyers, the appraisals, the finance conversations and the negotiation. We cover the trade-offs in AI BDC for car dealerships and the staffing costs in automotive BDC vs AI.
How do AI and aged leads work together?
Aged leads are where AI adds the most new appointments, because nobody else is working them. Enquiries from three, six or twelve months ago often belong to people who are still driving the same car and still in the market.
Setterly works these by two-way SMS. A five-site UK used car dealer saw 65% of 827 old leads reply, with 61 appointments and £109,800 in pipeline. A UK franchised dealer group with 20+ sites saw 65% of 725 reply, with 91 appointments and £136,500 in pipeline. CarFinance247, a UK car finance broker, booked 114 appointments and £171,000 in pipeline from 3,895 leads over Christmas, after its own team had already worked them. Pipeline means appointments booked multiplied by average order value. These are past results, not a forecast.
How does AI for dealerships differ in the UK and US?
The tools are similar, but the market and the rules differ. US dealers have a long-established BDC culture and large internet sales teams. UK dealers more often rely on sales executives to handle their own enquiries alongside showroom work.
- Rules on texting: in the UK, the ICO's PECR guidance covers marketing texts and the soft opt-in. In the US, the TCPA and A2P 10DLC carrier registration apply. Check the current rules for your market before texting.
- Language: US dealers talk about BDC, data mining and equity mining. UK dealers talk about enquiries, follow-up and aftersales.
- Leasing: in the UK, car leasing brokers are a large part of the market, with their own enquiry and renewal cycles.
How should a dealership measure AI?
Measure AI on appointments booked, appointments shown and cars sold, by lead source. Cox found about one in three dealers are not measuring AI's impact or are unsure how, which makes it impossible to tell good tools from expensive ones.
Set a baseline before you start: leads per month, response time, appointment rate and show rate. Then compare the same numbers after. With Setterly the measure is simple, because you pay per booked appointment: it is free to start, with no setup fee and no retainer, and CRM integration is optional for a one-off fee.

Frequently asked questions
How many car dealerships use AI?
Cox Automotive's AI in Auto Retail Tracker found 82% of US dealers use AI, based on 483 dealers surveyed in Q2 2026. Only 22% of AI users reported sales and revenue growth from it so far.
What is the best use of AI for a car dealership?
Follow-up. AI that replies to every enquiry instantly, holds two-way text conversations and works aged leads puts appointments in the diary. Coordinating customer follow-up was one of the top two dealer AI uses in Cox Automotive's research.
What should a CRM for car dealers include?
Every lead source in one place, instant routing and alerts, two-way texting logged to the customer record, follow-up sequences that keep going, aged lead views, DMS integration and reporting on appointments set, shown and sold by source.
Will AI replace a dealership BDC?
It changes what the BDC does. AI is best at volume, after-hours replies and aged leads. People are best at hot buyers, appraisals, finance and negotiation. Most dealers do best with both.
Is it legal to text car buyers with AI?
It can be, if you follow the rules for your market. In the UK, the ICO's PECR guidance covers marketing texts. In the US, the TCPA and A2P 10DLC registration apply. This is not legal advice, so check with your own adviser.
